Classification Title: Administrative Support Coordinator I
Classification Salary Range: $3,864 - $6,072 per month
The anticipated hiring range for this position is $3,864 - $3,950 per month.
The final salary is dependent upon qualifications and experience.

Under the general supervision of the Executive Director of Inclusive Excellence, the Program Support Coordinator provides comprehensive administrative, communications, and event support for the Office of the Vice President. The Coordinator is responsible for organizing divisional meetings and programs, overseeing financial and logistical processes, managing communications and promotional materials, and maintaining records and office operations. In addition, the role supports divisional events, outreach initiatives, and DEIJ-related programs by ensuring effective coordination, accurate documentation, and timely communication. The Office Support Coordinator works closely with staff, faculty, students, and external partners to ensure efficient administrative processes and seamless execution of divisional priorities that align with the strategic goals of DEIJ-related efforts.
Overview of Duties and Responsibilities:
- Provide logistical support for events and meetings, including booking venues, arranging catering, and coordinating technology needs.
- Assist in designing and disseminating promotional materials, such as posters, flyers, social media content, and emails.
- Compile, prepare and distribute meeting agendas, minutes, reports and other materials for committees, workgroups and presentations as needed.
- Compose, edit, and proofread correspondence including emails, newsletters, and memorandums as needed.
- Attend and support committee meetings; serve as the note taker.
- Assist in the collection of assessment plans and progress tracking.
- Assist in the collection and compiling of heritage month reflections.
- Provide administrative backup support to the Director of Operations and Strategic Initiatives and Executive Assistant as needed.
Minimum Qualifications:
- High school program or its equivalent and at least two (3) years' experience in an office environment.
Knowledge, Skills, and Abilities:
- Thorough knowledge of applicable university infrastructure, policies, and procedures.
- Thorough knowledge of English grammar, punctuation, and spelling; ability to draft and compose correspondence and standard reports.
- Thorough knowledge of office systems and ability to use a broad range of technology, systems, and software (word processing, spreadsheets, databases, presentations, and electronic communication tools).
- Ability to independently coordinate clerical and administrative support functions for an academic, special program, or administrative office.
- Ability to independently handle multiple work unit priorities and projects in a fast-paced environment.
- Ability to apply a wide variety of policies and procedures where specific guidelines may not exist, using sound judgment and discretion.
- Working knowledge of budget policies and procedures; ability to perform standard business math such as calculating ratios/percentages, tracking financial data, and making simple projections.
- Strong communication skills—oral and written—with demonstrated ability to compose clear, professional correspondence and reports.
- Ability to interact effectively with diverse individuals at all levels of the organization, including those in sensitive situations.
- Ability to develop practical and creative solutions to problems, using reasoning, judgment, and initiative.
- Ability to maintain confidentiality and handle sensitive information appropriately.
